- Past tickets for the same asset: "This printer had a toner issue six months ago."
- Related assets: "This user's monitor is out of warranty, but the workstation has three years left."
This works best if you can create a simple asset record, then link it to tickets when they arrive. If a ticket's about a specific user, their hardware and software automatically appear in the ticket view. Practical steps to get started
Audit what you own first. Before you link anything, list your hardware (machines, printers, monitors, servers) and software (operating systems, business apps, security tools). Review repeat tickets by asset. Once a month, run a report showing which assets have the most tickets. If a particular printer, workstation, or software keeps appearing, it's a sign something needs replacement or repair—not another ticket patch.
A real example: how this catches problems
A flooring company's admin assistant can't access cloud storage. Ticket goes in. Technician sees her workstation in the ticket (linked at creation). The asset record shows the machine is seven years old, never had the SSD upgraded, and is running out of disk space. But the tech also sees her Microsoft 365 licence expires in two weeks. He suspects the licence expiry is causing sync failures. He renews it, clears the disk, and the ticket closes. Without the asset link, he'd have just reset her password twice and blamed "cloud issues."
A month later, that same technician gets a ticket from a different user about "cloud not working." Because he can see the asset history, he immediately checks that user's licence expiry date—and finds it's also within two weeks. He proactively renews it before the problem spreads. Making it sustainable
The effort only works if you maintain it. Assign one person (even part-time) to keep asset and licence records updated. When hardware is bought or replaced, log it.
